Catch the wrong date before you hit Save.
QuickBooks Online starts every new invoice, payment, bill or expense with the date of the last transaction you saved, not today. EntryCatch spots it the moment the form opens and switches it to today in one click, or automatically.

Why your QuickBooks Online invoice date keeps changing
We reproduced it step by step in QuickBooks Online's demo company. The date isn't random. It's the date of the last new transaction saved on the account.
You record a customer payment that came in last week, dated the 12th.
QuickBooks keeps that date for the next new form, whatever its type.
Your next new invoice opens dated the 12th. Its due date is counted from it, too.
What we found in testing
- Any new transaction sets it. Invoices, payments, bills, expenses, estimates: whatever was saved last decides the next date.
- Even a failed save counts. If saving fails with an error, the date still sticks. Future dates stick too.
- The Pre-fill setting doesn't help. It doesn't control the date, so turning it off changes nothing.
- Refreshing doesn't clear it. The date survives a full page reload.
- Restoring a draft brings back its old date. "Restore draft" reloads the date the draft started with.
- There's no "use today" setting. QuickBooks Desktop has one. QuickBooks Online doesn't.
One wrong date turns into three problems
Wrong due dates
The due date is counted from the invoice date, so customers get less time than your terms say. Backdate a Net 15 invoice by three weeks and it's overdue the day it goes out.
Sales in the wrong month
An invoice you create on the 1st but that's dated the 28th lands in last month's numbers, after you may have already reviewed them.
Questions from customers
Customers notice an invoice dated before the work was done. Then someone has to explain it, or void it and send a new one.
It stays out of the way until a date looks wrong
Flags the date when the form opens
Open a new invoice, payment, bill or expense dated anything other than today, and EntryCatch outlines the date and tells you where it came from. Use today or keep the date with one click.
Or fixes it for you, with Undo
Rather not click at all? Set invoices to change to today automatically. A short note shows the date QuickBooks had filled in, with an Undo button in case you meant it.
Asks before you save
If a date that isn't today is about to be saved and you haven't confirmed it, EntryCatch asks first: switch to today and save, save it as is, or go back.
Set it up per transaction type
Payments, expenses and journal entries are often dated in the past on purpose. Choose Warn me, Change to today or Do nothing for each type, and pause EntryCatch with one checkbox while you catch up on old entries. Dates you type or pick yourself are never touched, and neither are transactions you open to edit.
Works on invoices, estimates, sales receipts, customer payments, expenses, checks, bills and journal entries.
Moved from QuickBooks Desktop?
Desktop let you choose "Use today's date as default" for new transactions, and could warn you when a date was too far in the past or future. QuickBooks Online has neither setting. EntryCatch brings them back, starting with today's date. Date range warnings are next.
Your books stay between you and QuickBooks
EntryCatch runs entirely inside your browser. There's no EntryCatch server for your data to go to.
Runs only on QuickBooks Online
It's switched on for qbo.intuit.com and nowhere else.
One permission: storage
Chrome asks you for nothing else. It's used to save your EntryCatch settings.
Looks only at the date
It checks the date field and the Save buttons on the form you have open. It never reads your customers, amounts or reports.
No account, no tracking
No sign-up, no analytics, nothing sent anywhere. Not even to us.
EntryCatch grows with your team.
Every mistake a member reports becomes a safeguard for everyone. Tell us what your team keeps getting wrong. If it can be spotted on screen before it's saved, we'll teach EntryCatch to catch it.
You describe it
Email us what went wrong: which form, which field, and what should have stopped it. Words are enough. We never ask to log in to your QuickBooks.
We reply within 2 business days
You'll hear whether it can be caught on screen. If it can't, we'll tell you why.
We recreate it in a test company
We reproduce the mistake in a QuickBooks Online test company, never in your books, and work out how to catch it.
You try it first
The new safeguard comes to you before anyone else. If it only makes sense for your company, it stays a setting you switch on.
Everyone gets it
Safeguards that help other teams ship to all users, usually within a few weeks, with a thank-you in the changelog: anonymous, or with your name if you'd like.
An example of how the board will look. It opens with our first founding members.
A public request board
Every request goes on a public board with company names, customer names and amounts removed. Founding members vote, one vote per company. Votes count the most; we also weigh how many teams it would help, how much work it is, and whether it's an entry mistake. Those rules are published on the board, so you can see why something comes next.
What a request isn't
It isn't custom development, and it isn't shortcuts, reports, data migration or bookkeeping advice. EntryCatch does one job: catching entry mistakes before they're saved. Keeping to that is how every safeguard stays well made and up to date.
Dates are just the start. Help pick what EntryCatch catches next.
Founding members don't just use EntryCatch. They shape what it catches next: every new safeguard as it ships, and a vote on what gets built.
- Live
New transactions not dated today. Warn, fix automatically, ask before saving.
- Next
Dates far from today. Type 2028 instead of 2026 and QuickBooks Online saves it without a word, then carries it into every new form. Desktop warns you. Online doesn't.
- Planned
Duplicate invoice numbers. Online can warn about duplicate check and bill numbers, but not invoice numbers.
- Planned
Team settings. Owners and bookkeepers set up EntryCatch once for everyone who enters transactions.
- You decide
Your request. Tell us a mistake your team keeps making. If it can be spotted on screen, we'll build a safeguard for it. How requests work
- Every new safeguard as it ships
- Request safeguards for mistakes your team makes, with a reply within 2 business days
- Try new safeguards before everyone else
- One vote per company on the public request board
- Everything in the yearly plan
- For as long as EntryCatch is around

Questions
Why does QuickBooks Online keep changing my invoice date?
QuickBooks Online fills in the date of the last new transaction saved on the account, whatever its type. Record an older payment, bill or expense, and the next invoice picks up that date. We confirmed this step by step in QuickBooks Online's demo company.
Can I make QuickBooks Online default to today's date?
Not with a setting. QuickBooks Desktop has "Use today's date as default", but QuickBooks Online doesn't, and the Pre-fill setting doesn't affect the date. EntryCatch fills the gap: it warns you, or switches new transactions to today automatically.
Will it change dates I set on purpose?
No. If you type, paste or pick a date yourself, EntryCatch treats it as your choice. It doesn't touch existing transactions you open to edit, and you can set each transaction type to Warn me, Change to today or Do nothing.
I'm a bookkeeper catching up on old entries. Will it get in the way?
Set the types you're backdating to Warn me or Do nothing, or pause EntryCatch with one checkbox while you work and switch it back on afterwards.
Does everyone on my team need it?
EntryCatch works in the browser it's installed in, so everyone who enters transactions should add it to their own Chrome. Team settings are on the roadmap.
Which browsers does it work in?
Google Chrome, and Microsoft Edge with extensions from the Chrome Web Store. It doesn't work in the QuickBooks mobile app.
Can EntryCatch catch a mistake my team keeps making?
That's what founding members get. Describe the mistake to [email protected] in words, without customer names or amounts. If it can be spotted on screen before it's saved, we'll build a safeguard for it. See how requests work.
Is EntryCatch made by Intuit?
No. EntryCatch is an independent product and is not affiliated with, endorsed by or sponsored by Intuit Inc.
How do I reach you?
Email [email protected]. We usually reply within 2 business days.
Stop fixing dates after the fact.
